VASTEC 508 Experts

VASTEC addresses the need for accessibility of information and data products while returning time to the organization.

BACKGROUND
Accessibility is driven by Section 508 of the Rehabilitation Act requiring workplaces and information products to be accessible to the disabled. While wheelchair ramps and restroom accommodations have improved dramatically over the past 20 years, information products have lagged. In 2008 the settlement of several lawsuits regarding the accessibility of information products proves the need to increase accessibility of information and data products. VASTEC delivers accessible data products from our data transformation process.

In addition to meeting the legislated requirement of Section 508, VASTEC returns time to the organization with our various data deliverables that can be produced during accessibility transformation.

SOLUTION
VASTEC offers facilities and processes for a broad range of transformation steps from scanning and digitization services to Column Reflow and Table Read order with data extraction that offers the following features and benefits:

1- OCR conversion to 99% accuracy, hand-checked against the original document
2 - Reflow - allowing columns to be properly displayed on mobile products and properly read by screen readers
3 - Read order - allowing Tables to be properly displayed on mobile products and properly read by screen readers; data can be extracted and mapped to database fields
4 - Logo or Signature identification metatag callouts - allows screen readers to identify the logo and signer(s)

PRODUCTION
VASTEC offers facilities and processes for a broad range of transformation steps from scanning and digitization services to Column Reflow and Table Read order with data extraction that offers the following features and benefits:
1 - Secure process, physically inspected by US Government and approved for sensitive-but-unclassified documents
2 - State of the art high speed scanners
3 - Despeckling and deskewing improve image quality
4 - Patent-pending technology to speed OCR and Read-order/Reflow

TRANSIT and STORAGE
VASTEC offers facilities and processes for a broad range of transformation steps from scanning and digitization services to Column Reflow and Table Read order with data extraction that offers the following features and benefits:
1 - Secure pickup - following formal Chain of Custody procedures, into double locked trucks with GPS
2 - Barcoded boxes allow quick location of needed paper files

SECURITY ELEMENTS AT VASTEC
Security at VASTEC consists of tools and processes to limit access to sensitive data, and to limit ability to remove such data from the system.
1 - Isolate document security mechanisms and policies from document processors
2 - Protect data by securing copiers, multi-functional printers and other devices with a "digital shredder"
3 - Store hard disks in a secure environment
4 - Role-based security: Limits individuals with certain access levels to see only particular documents
5 - Secure digital mailboxes to prevent unauthorized access
6 - Restrict access to printers using different levels of login
7 - Configure FTP servers to prevent access to parent directories that contain confidential information
8 - Secure audit trail and access
9 - Compartmentalize internet access
10 - Use digital certificates to verify identity over the Internet
11 - Install web servers, printers, and document systems in a secure physical environment
12 - Set up web servers on disks or volumes dedicated to only web services
13 - Require users to authenticate themselves before accessing databases
14 - Allow only secure protocols to connect to digital printing and copying systems

COSTS
The costs associated with digitization vary based on the following elements:
1 - Condition of existing documents - mildew, mold, folds, organization, paper clips, staples
2 - Access to files or boxes - truck access, stairs
3 - Quantity of documents - usually measured in the millions of pages, and can be estimated by weight
4 - Variation of document types
5 - Unique documents - maps and photos require more effort
6 - Level of desired accessibility or 508 compliance
