VASTEC Process

In 2008 VASTEC digitized more than 10 million sensitive government documents. The process starts with transportation of documents via VASTEC's own trucking system. VASTEC uses GPS monitoring and double-lock security measures on all documents while in transit, to ensure safe keeping.

Those security measures continue inside VASTEC's 17-thousand square foot facility in Tampa, Florida. Key card access is required of all employees at each entrance. On the production floor there is no internet access, and all electronic information is encrypted. Those measures ensure that confidential material cannot be accidentally released. To keep track of documents, all materials are bar-coded upon arrival.

The actual digitization process begins with document orientation and clean-up. Papers can be re-ordered if needed, with paper clips and staples removed. From there the process turns to media preparation for scanning. High speed scanning ensures the job is done right. Information on other media, such as microfiche, can also be processed.

After this, the process turns to quality content and verification. Documents are opened, with misaligned pages corrected and blank pages removed. Material that did not scan properly the first time is scanned again.

VASTEC'S optical character recognition process is state of the art. While other companies merely run documents through a single OCR, VASTEC uses multiple OCR engines to process all information.

After that, there's another quality control step: 508 OCR Remediation. Each document is personally reviewed. Misspellings from original documents are corrected, abbreviations are written out. This not only makes the document fully accessible, it improves cross-reference functions.

But the VASTEC process is not over yet. Quality assessment of 508 compliance goes above anything being offered by any other digitization company. Once again, a VASTEC professional reviews each document, this time checking read order, while testing the screen reader and search functions.

As for the original paper documents, they can be returned if necessary, or destroyed on-site to Department of Defense Level 3 Standards.
